Frogtown Toledo

  • Optimal time for setup: Friday evening (only if someone wants a romantic evening in Toledo and to get us a tent spot with a view of the race); Saturday morning (to get setup help from carpoolers)
  • Single day event. Trailer is in parking lot next to tent only if we don’t have a view. 🙂
  • Tent is not where people tend to hang out at this regatta there are many other good viewing locations. Tent location is not a superbig deal.

St. Mary’s Orchard Lake, Mi

  • Optimal time for setup: Saturday morning.
  • Single day event.
  • Trailer is next to tent and on flat land. Fairly easy setup.
  • Tents are not good viewing at this regatta so the tent location is not a big deal.

Charlie Doyle Dayton

  • Optimal time for setup: Saturday morning.
  • Trailer has to be there the evening before, by 6 or dusk (confirm by visiting website). Alternate arrangements need to be made if it’s later than that.
  • Important: Someone needs to check Regatta Central to find out the requirements!

Blake Haxton Columbus

  • Optimal time to set up: Friday afternoon/early evening
  • Sites are not preassigned. Find someone who can grab a spot Friday afternoon especially if trailer will arrive late. Take small tent, etc. to mark spot. All spots with a view of the race course are taken by mid afternoon on Friday.
  • Gates open at 3:00 and close at 9:00 PM on Friday (need to check the website in case that changes) this is the window for dropping off the trailer. If that is not possible, will need to make arrangements with the regatta staff.
  • Important: Someone needs to check Regatta Central to find out the requirements!
  • Trailer is not next to the tent. Staff available with golf carts Friday 3:00-9:00 to help with unloading.
  • Tents cannot be staked. Need to fill big buckets with water and anchor tents to them.
  • Very difficult to haul full buckets up the hill by hand. Golf carts are available on Friday until the gates close.
  • Haxton is late in the fall season. It gets dark early and stays dark in the morning during setup.
  • Headlamps and flashlights are very helpful. Get them out of the trailer and check that they are working in advance. Leave them in an very accessible location in the back of the trailer, or be sure the unloaders have them in their own car.
  • Haxton claims to allow unloaders to park in the closest lot (and even that is quite a hike in to the site), but our experience has been that that is not that case. Leave quite a bit of extra time to park and walk in, especially in the morning. Unloaders and breakfast people will be arriving before shuttles are running.
  • Morning unloading is challenging at Haxton for all of the above reasons. If possible, life is easier for the crew if unloading and partial setup can be done on Friday. If not possible, then the setup crew needs to be larger (more than 4 people) and/or earlier than expected.
  • Haxton is often cold, windy, and wet. It is a good idea to turn tables upside-down overnight, so they are not coated with ice in the morning. Also a good idea to drop the tents to half-height overnight.

SRAM Grand Rapids

  • Optimal time to set up: Morning of. When can we get in? It’s more like how late can we be We’re usually pretty late but it works out fine.
  • Single day event. Trailer is relatively close to tent, and on flat land. Fairly easy setup.
  • Tent is not where people tend to hang out at this regatta tents are not at good viewing locations. Tent location is not a big deal.

Midwest Zanesville

  • Optimal time to set up: Friday afternoon/early evening. Racing starts Saturday morning.
  • One of the bigger setup jobs. Two day event, complete setup with lots of food.
  • Usually long haul from trailer to tent location, and strict rules about unloading with minivans (as in: not allowed. sweet talking helps). Bring additional carts/wagons. Extra hands will help.
  • Site is preassigned. Find out where it is in advance (usually from Rich/Travel Coordinator).
  • Site is fairly large, partly because (I think I’m correct…) Rich reserves two spots. Need to check on this. Since the site is large we can put up all our tents which has proved a good thing because of weather.

CSSRA Canada

  • Treasurer task: Reserve and pay for tent site. Reserve and pay for tent and two tables.
  • Optimal time to setup: Thursday afternoon/early evening. If graduation takes place during this regatta it will take place on Thursday. At 8:00. Racing starts Friday morning.
  • Put bug in Senior parents’ ears about holding a graduation sort of event in St Cats even if it doesn’t fall in line with “official” graduation. Because it would be fun.
  • Have to refill water containers often, so bring better vehicle for carrying them
  • Rent tent & tables, so no need to bring or unload them
  • Typically can park trailer near tent
  • Relatively easy site to deal with, given the rent-a-tent and the nearby location of the trailer.
